Three pages on the same vendor website quoted three different prices to us on the day we wrote this. That is the short version, and the reason this page exists.

SmartX CRM is a study-abroad and education-consultancy CRM. If you run a boutique agency with one to fifteen counsellors and you are weighing it against enrollo, here is the honest answer in one paragraph. SmartX sells a broad suite: leads, applications, documents, visa cases, a course finder, WhatsApp automation, white labelling on its top plan, and a named sub-agent module it says automates commission calculations. enrollo is narrower on purpose: one placement lifecycle, from enquiry through offer, CAS or I-20, visa and enrolment, with commission tracked from Pending to Invoiced to Collected. For a mixed education-and-immigration practice, SmartX has more surface area. If your money leaks because deadlines and commission live in a spreadsheet and a shared inbox, the narrower tool pays off.

One disambiguation first. SmartX CRM (smartxcrm.com) is a different vendor from SmartAgentic, which we cover on a separate page. The names are close. The products are not the same.

What is SmartX CRM, and who is it built for?

SmartX CRM describes itself as a platform for "education consultants, study abroad agencies, and overseas education businesses." Its product page lists a centralised lead management system, "Comprehensive Application Management" tracking "every application through its complete lifecycle," an "Advanced Document Management System" with "role-based access controls," visa management and tracking, a "University Course Finder CRM," and a "B2B Sub-Agent Management" system to "manage agent relationships, track referrals, automate commission calculations" (SmartX CRM product page).

That is a wide consultancy suite covering both education placement and visa or immigration casework in one system, written for the Indian consultancy market.

What does SmartX CRM cost?

SmartX publishes prices, which puts it ahead of several competitors here. The problem is that it publishes three different ones. All three pages were read on 5 September 2026 and are quoted as they appeared.

  • The pricing page lists three annual plans in US dollars: EduCa Solo at $999 a year (from a listed $1,299), EduCa Reach at $1,899 (from $2,299), EduCa Network at $2,999 (from $3,499). A WhatsApp add-on called WA Daddy is $200 a year, included with white labelling on Network. Seven-day trial, no credit card, annual billing. Support is listed as weekdays 9am to 5pm with an assigned Customer Relationship Executive (SmartX CRM pricing).
  • Its own study-abroad CRM comparison guide states "From ₹2,999/user/month (confirm current tier on the pricing page)" (SmartX comparison guide).
  • Its Meritto-alternative page lists a Starter plan at "₹4,999/month", Professional at "₹9,999/month" and Enterprise at "₹19,999/month", and claims "24/7 support via chat, email, and phone in both English and Hindi" (SmartX vs Meritto page).

These are not three sizes of the same thing. They are three shapes: flat per year in dollars, per seat per month in rupees, flat per month in rupees. Different plan names, too. The support line differs as well: weekdays 9 to 5 on one page, 24/7 on another.

We are not going to tell you which is right, and we are not calling anyone dishonest. Marketing pages drift out of date faster than pricing pages, and that is the likeliest explanation. But it is your budget, and the shape decides it: a flat annual fee costs the same when you hire your fourth counsellor, and a per-seat fee does not. We did not convert the rupee figures, because a conversion we cannot verify is a guess dressed as a fact. Ask which shape applies and get it in the order form.

Where does SmartX CRM beat enrollo?

Four places, and you should hear them from us rather than find them in a demo.

  • Named sub-agent commission automation. SmartX advertises a B2B sub-agent module that automates commission calculations. On enrollo the split is real in the data — set a referral split on a student and the platform writes two commission records, the institution share and one flagged as the referral share — but there is no counsellor-facing screen to type it into today. It is set when the student record is created, through the API or a CSV import. If you click on sub-agent splits every week, that gap is real, and we would rather say it now than let you find it in week two.
  • Visa and immigration casework in one system. SmartX lists visa management as a first-class module and sells to immigration consultancies too. enrollo tracks visa deadlines inside the placement lifecycle. It is not a case management system.
  • White labelling and packaged WhatsApp automation. Network includes both. enrollo includes WhatsApp messaging on every plan and has no white-label option at all.
  • Named human support. An assigned support contact is more than we offer — enrollo support is email.

How do the two compare, feature by feature?

Every cell comes from a public page we read directly. Where a page did not say something, we wrote that instead of guessing it.

Seat limits is the row we could not fill in — distrust any comparison that fills it in confidently. And on support hours, note that the answer we can give you is the worse one.

What happens when you enter a deadline in enrollo?

Fair question, since we just spent several hundred words on someone else's pages. An application record holds five dated fields: offer deadline, offer acceptance deadline, deposit deadline, visa deadline and scholarship deadline. You type them once. The weekly deadline feed reads all five across every student in the agency and lists the ones falling inside the week, each labelled with the student and the institution. The applications screen adds a "due within 7 / 14 / 30 days" filter.

The honest footnote: that filter currently matches four of the five dates — a scholarship deadline reaches the weekly feed but not that filter. It is on our list. We say so because a page that only lists a competitor's gaps is a battlecard, not a comparison.

What do buyers usually object to?

Three, in the order we hear them.

"Your cheapest plan is a third of theirs, so what am I not getting?" Scope. No visa or immigration case management, no course finder, no white labelling, no phone support, no screen for sub-agent splits. If you need those, the gap is not a saving, it is a mismatch.

"We already run this on spreadsheets and it is free." Spreadsheets are genuinely fine at one counsellor and a handful of live applications. They stop being fine where five dated fields per application multiply by thirty students and nobody owns the calendar. "Switching mid-intake will cost me a week." Possibly. Which is why the trial is fourteen days rather than seven, imports are CSV, and if you leave the account goes read-only with your data still exportable.

Which one fits a 1 to 15 counsellor agency?

Both vendors say they serve small agencies, so size is the wrong axis. Use scope. Choose SmartX if your practice is really two businesses — student placement and visa or immigration casework — and you want them in one system, or if white labelling and a named support contact are worth the higher annual fee.

Choose enrollo if the money leaks in one place: a deposit deadline nobody surfaced, a CAS that went out naming the wrong agent, an invoice raised in October against a commission the school pays in February. That is the whole product. It costs less, it bills monthly, and it will not pretend to be an immigration case system.

If neither fits, the four other comparisons in this set may: Agentcis, KONDESK, Meritto and EduAgent CRM.

What should you ask before you sign either one?

Six questions. They work on any vendor here, us included, and the price-shape problem above is why the first is first.

  • Is the price flat or per seat, and in which currency? Get it in the order form, not the marketing page. Then ask what the bill looks like after you add two counsellors.
  • How many seats does my plan include? If the answer describes a company rather than giving a number, keep asking.
  • Can I pay monthly? If not, you are committing a year after a one- or two-week trial.
  • Where exactly do I type a sub-agent split, and what does the system do with it? Make them show the screen. A module name on a website is not a screen.
  • What are the support hours in the contract? Not on the marketing page — in the contract.
  • Which agent fields does the system put on a UK CAS? UK sponsor guidance says sponsors "must record agent details on the CAS where the sponsor has used an agent in the recruitment of the sponsored student," and that "if a sub agent is used, sponsors must provide details of the main agent not the sub agent" (GOV.UK Student sponsor guidance, Document 2, version 04/2026, updated 1 June 2026). If your CRM stores the sub-agent where the university needs the main agent, someone re-types it every time.
