EduAgent CRM Alternative for Boutique Education Agents
EduAgent CRM sells the front of the pipeline: enquiry capture, a branded student portal, invoices and appointments. enrollo sells the back of it: offer deadlines and the commission you chase after enrolment. Published prices, honest concessions, and a five-step test you can run in either trial.
If you run an agency with 1–15 counsellors and you are looking for an EduAgent CRM alternative, the split between EduAgent CRM and enrollo is not feature count and it is not price. EduAgent CRM sells the front of the pipeline: capture the enquiry, put the applicant in a branded portal, book the appointment, send the invoice, take the payment. enrollo sells the back of it: the offer deadline you have to hit, and the commission you have to chase after the student enrols. Both publish prices a boutique agency can afford. Pick by which end of the process currently loses you money.

What does EduAgent CRM cost, and what does enrollo cost?
Both vendors publish plan prices, which already puts them ahead of parts of this category — Meritto quotes on request. Here is what each vendor's own pages say today.
| Plan | Billed annually | Billed monthly | Seats |
|---|---|---|---|
| EduAgent CRM — Advisor | $20 p/m | $35 p/m | "Unlimited admin user licences" |
| EduAgent CRM — EduAgent Journey | $150 p/m | $199 p/m | Not stated on the plan page |
| enrollo — Solo | $278/year (~$23 p/m) | $29 p/m | 1 counsellor |
| enrollo — Team | $758/year (~$63 p/m) | $79 p/m | Up to 5 counsellors |
| enrollo — Agency | $1,430/year (~$119 p/m) | $149 p/m | Up to 15 counsellors |

One caution before you budget from that table. EduAgent's own Advisor page says "Unlimited admin user licences," while its Capterra listing records the starting price as "$20.00 Per User, Per Month." Those two statements cannot both describe the same invoice. Ask the vendor to confirm in writing which one applies to your team size before you sign an annual term. We are not going to resolve it for you from the outside, and neither should a comparison page.
How do the two tools differ on the six things boutique agencies ask about?
| Criterion | EduAgent CRM | enrollo |
|---|---|---|
| Enquiry capture | "Unlimited, editable, embeddable lead capture forms" plus a drag-and-drop form builder on the Journey plan | Token-linked intake form and lead form, fixed field set, no builder |
| Student-facing portal | "Brandable enquirer's portal" with messages and attachments | Read-only status link per student, no two-way messaging |
| Appointments | "Schedule Appointments directly In the CRM" | Not available |
| Billing the student | "Generate Invoices & Accept Online Payments" | Quote across a student's applications, exported as PDF; no payment collection |
| Commission tracking | Not named on the Advisor or Journey plan pages, and not in the Capterra feature list | Expected total, instalments, and each received payment stored as separate dated rows |
| Deadline surfacing | "The system is designed to keep your councelours aware of the next important deadline ahead" | Offer deadlines falling inside 14 days surfaced by institution |

The enrollo column describes shipped behaviour, not a roadmap.
Why the commission row is the one that decides it
A commission is not one number and one date. A UK placement can pay half at enrolment and half after a retention point; an Australian one can pay after the census date; an institution can pay a term's placements in a single remittance that does not name the students. So a record that holds a single "amount" field and a single "paid" checkbox will agree with your bank on the first payment and drift on every one after it.
enrollo stores an expected total, an instalment number out of an instalment count, and each payment as its own row with a date and a reference. If the payments do not add up to the expected total, the commission stays partial rather than closed. That is a small design decision with one consequence worth paying for: a short payment does not quietly become a paid one. We wrote out the arithmetic in commission reconciliation for education agents.
Why the portal row cuts the other way
If your students message you in twelve WhatsApp threads and you spend the first hour of every day finding which of them sent a passport scan, a branded portal with attachments is worth more to you this quarter than a tidy commission ledger. enrollo does not have one. Its student link is read-only — a page the student can open to see where the application stands, not a channel they can reply in. That is a real gap, and if it is your main problem, EduAgent CRM answers it and we do not.
Where does EduAgent CRM win?
Three places, plainly.
Entry price and seat maths. Advisor starts at $20 p/m on the annual term against enrollo Solo at about $23, and its page claims unlimited admin licences. enrollo counts seats: 1, 5, 15. A four-counsellor agency pays enrollo $79 a month for the Team plan no matter how it uses those seats. If the per-user question above resolves in the vendor's favour, EduAgent is cheaper for a team of four and much cheaper for a team of ten.
Getting paid by the student. EduAgent generates invoices and accepts online payments inside the CRM. enrollo produces a quote PDF across a student's applications and stops there — service fees, deposits, and instalment plans you charge the student go somewhere else, usually an accounting tool.
Phones and support hours. Capterra lists EduAgent on Web, Android and iPhone/iPad, with phone support and 24/7 live rep among its support options. enrollo is a responsive web app with email support. If your counsellors work from a phone in a shopfront rather than a laptop at a desk, that difference shows up daily.
How do you tell which one fits your agency?
Do not decide from either vendor's feature list, ours included. Both tools offer a trial — EduAgent advertises "14 days free" with a "100% Money Back Guarantee," and enrollo runs 14 days without a card. Spend forty minutes of one of them running the same five steps in each. Run it on us too.
| # | Do this in the trial | A pass looks like | What a fail costs you |
|---|---|---|---|
| 1 | Add one student, one application, one tuition figure, one offer deadline | The deadline appears somewhere you would see it without searching for that student | The deadline lives in a counsellor's head, and leaves when they do |
| 2 | Create the commission for that application with an expected total that is not a clean percentage of tuition | The tool accepts the figure you were actually promised | You re-derive the number from a percentage every quarter and argue with the institution about which was agreed |
| 3 | Split it into two instalments — say half at enrolment, half after the retention point | Two dated rows, each with its own status | The second half is invisible until someone remembers it existed |
| 4 | Record a receipt that is smaller than the invoice, as a cross-border transfer usually is | The record stays open and shows a shortfall | The row reads paid, you stop chasing, and the gap turns up as a quarter that came in light |
| 5 | Come back and list every commission with money still outstanding, without opening each one | One filtered view you can work through in a morning | Reconciliation becomes a spreadsheet you rebuild by hand every term |
Steps 3 and 4 are where a spreadsheet stops being free.
What do agencies push back on?
They say: "EduAgent is cheaper, so why would I pay more?"
We say: On the published annual prices for one user, the difference is about $3 a month, and for a team of four or more the comparison depends entirely on whether that $20 is per user. If the answer comes back "per user," EduAgent is cheaper for you and you should weigh what you get for the difference — which, on the published pages, is commission structure we have and they do not name, against invoicing and appointments they have and we do not.
They say: "I already have a CRM. I just want commission tracking bolted on."
We say: Then do not switch. Keep the CRM and export what you need. Switching two tools to fix one problem costs more than the problem in the first year. We made the same argument about Agentcis and it has not changed.
They say: "How do I know your commission features are real, given you are the ones writing this?"
We say: Run step 4. Enter an invoice of £2,400 and a receipt of £2,180. If the record closes as paid, we have oversold it and you have your answer in ninety seconds.
Who is each tool for?
EduAgent CRM fits an agency whose bottleneck is the front of the process: enquiries arriving faster than counsellors can answer them, students who need somewhere to upload documents and message back, service fees you bill and collect yourself, and counsellors working from phones.
enrollo fits an agency whose bottleneck is after the offer: institution commissions arriving in instalments and in other currencies, offer and deposit deadlines that decide whether the placement survives, and a partner list long enough that no one remembers which term each one pays in. It is a study abroad CRM built around that, not a general agency CRM with a finance tab. The same comparison against KONDESK lands in the same place for the same reason.
Neither of us is the right answer for an agency that needs both ends solved perfectly on day one. If that is you, run the five steps above against both and pick the end that is costing you more this term.
