Getting started

Can I migrate from Excel?

Yes. Use Settings → Import → Upload CSV. The minimum required columns are name, email (or phone), and stage. We auto-create students, detect duplicates by email or phone, and write a timeline event so every imported row has an audit trail.

Bring nationality, lead source, and intake year as additional columns to fill the profile in one pass. Anything Enrollo doesn't recognize is ignored — nothing in your spreadsheet is destroyed during import.

How does CSV import work?

Drag a CSV onto the import drop zone or click to browse. Enrollo reads the header row, asks you to confirm the column-to-field mapping, then runs a dry-run preview that flags duplicates, missing required fields, and rows we can't parse.

You decide whether to merge duplicates into existing students or skip them. Imports run in batches and the audit log lets you trace every created or merged student back to the source CSV.

What if I have multiple counselors?

Invite teammates from Settings → Team → Invite member. Each counselor can be assigned to students individually, and the Inbox filters by assignee so people only see what they own. Owners and admins can reassign at any time from the student page.

Plan limits: Solo (1 user), Team (up to 5), Agency (up to 15). Members above the plan limit are placed in read-only mode rather than removed.

Daily workflow

How does Enrollo know my deadlines?

Enrollo combines deadlines you enter (application close date, deposit due date, visa interview date, scholarship due date, CAS date, etc.) with timing rules from the document templates you apply. The Inbox sorts those into nine priority bands ranging from Overdue through Coming this week.

For each application stage, we also surface how long a record has been sitting in a state — for example, a document that has been student submittedfor more than three days will appear in the “needs attention” section so it doesn't fall through the cracks.

What if I don't enter a deadline?

Enrollo never invents a deadline you didn't enter. If an application has no close date, it simply won't appear in the Overdue or Due Today buckets — but it can still surface through the “stuck in stage” rules (e.g. a student who has been in Preparing for 30+ days). The Inbox is designed to be informative, not alarmist.

If you'd like the system to nag you, the cleanest fix is to add the deadline. The student page makes this a single inline edit.

Why are some students shown in red?

Red is reserved for items the Inbox classifies as Overdue — a deadline has already passed (deposit, scholarship, visa interview, application close) or a verified document has not been submitted past its due date. Amber means “due today or tomorrow.”

If a student looks red but the deadline has already been handled outside Enrollo, update the deadline or status on the student page — the color clears immediately.

How do I undo a status change?

Most status changes (document, application, commission) show a 5-second Undo toast right after you click. Past that window, every change is preserved in the activity log on the student page; you can revert manually by clicking the status badge again.

For document status specifically: clicking the badge advances to the next state, while the “⋯” menu lets you go back to any previous state. Nothing in the document history is silently overwritten.

What happens when I archive a student?

Archived students are hidden from the main list, the Inbox, and search results — but their applications, documents, commissions, and timeline entries are preserved intact. You can browse them under Students → Filter → Archived and unarchive with one click.

Archive is reversible. Permanent deletion is a separate, audited flow that requires explicit confirmation and removes data from all sub-processors per the erasure policy.

Communication

Can students see internal notes?

No. Internal notes, activity log entries, and commission figures are visible only to authenticated members of your organization. Students never log in.

When you generate a share link for a student or application, the public page shows only what you explicitly choose — typically the application status, document checklist, and next steps. Notes and commission data are excluded by default and cannot be opted in.

What about WhatsApp integration?

Every student profile and every parent contact has a one-click WhatsApp button that opens wa.mein a new tab with the right number prefilled. When you return to Enrollo, a persistent “Log this contact?” toast lets you record the conversation in two clicks.

We deliberately don't sit between you and WhatsApp — the Business API has long approval cycles and the user experience for counselors is worse, not better. Enrollo's job is to make opening WhatsApp fast and to capture what happened afterwards.

Money

How does commission split work?

When you create a commission, you can choose Single or Split. Split commissions support multiple instalments — for example 50% on enrollment and 50% after first-semester completion — each with its own due date and status.

Each instalment moves through the same lifecycle (Pending → Invoiced → Collected) independently, so the dashboard accurately reflects what is actually owed and received versus pending future instalments.

What if I refund a student?

Mark the related commission as Refunded from the student page; the dashboard immediately reflects the reduced collected total. The original transaction stays in the history (we never delete commission rows) so the audit trail is complete.

If only part of the commission is refunded, switch to Split and mark only the affected instalment as refunded. If the student re-enrolls later, a new commission cycle starts cleanly.

How does billing work?

Three plans, billed monthly or annually in USD: Solo ($29/mo or $278/yr, 1 user), Team ($79/mo or $758/yr, up to 5 users), Agency ($149/mo or $1,430/yr, up to 15 users). All plans include unlimited students and full feature access — there is no feature gate.

Payments are processed by Polar; we never see your card number. Manage your subscription from Settings → Billing → Manage Subscription.

What is the refund policy?

During the early-access window, Enrollo offers a 30-day full refund on first-time charges, no questions asked. EU and UK consumers also retain their statutory 14-day right of withdrawal. Annual plans bought outside that window remain usable through the paid term.

How do I cancel?

From inside Enrollo: Settings → Billing → Manage Subscription opens the Polar billing portal where you can cancel in two clicks. You keep full access until the end of the current billing period; no further charges occur.

After the paid period ends, your data stays accessible in read-only mode for 90 days. You can export everything from Settings → Billing → Download my data at any time.

Account & devices

What if a counselor leaves?

The owner or an admin can deactivate the leaving counselor from Settings → Team. Their session is invalidated immediately, and any students they were assigned to remain intact — you reassign them in bulk from the students list.

Pinned notes, activity log entries, and timeline events written by the departed counselor are preserved permanently for handover. Nothing they wrote is removed when their account is deactivated.

How does mobile work?

Enrollo is a responsive web app. The Inbox, student page, and document checklist are designed for mobile-first use during field work — adding a contact log after a parent call, advancing a document status from a phone, opening WhatsApp directly. There is no separate native app to install or update.

Heavy bulk-edit and CSV-import flows are still best on a desktop where the screen room helps, but no functionality is locked behind a particular device.

Data & trust

Can I export all my data?

Yes, at any time, in any plan state — including read-only mode after cancellation. Settings → Billing → Download my data produces a ZIP with CSVs for students, applications, documents, commissions, timeline events, and team members. No charge, no waiting period.

Per-student export is also available from the student page if you just need one record.

What if Enrollo goes down?

We publish incident updates on the in-app banner and at the status page. While we strive for high availability, we can't guarantee uninterrupted service — see Terms §7.

Because every action is durably stored in Supabase and exports are one click away, the most reliable mitigation against any outage is an occasional CSV download of your data, which we make deliberately frictionless.

Where is my data stored?

Primary data residency is AWS EU (eu-west-1) via Supabase, with encryption at rest and in transit. Some sub-processors (Sentry, Resend) host data in the US under Standard Contractual Clauses. The full data flow, including erasure handling per sub-processor, is documented at /sub-processors.

EU and UK data subjects can exercise GDPR rights (Access, Rectify, Delete, Export, Object) by emailing hello@enrollo.io — we respond within 30 days. See the Privacy Policy for Article 27 details regarding our sole-founder operation.
